This Privacy Policy describes how Ink AI (“we,” “us,” or “our”) collects, uses, shares, and protects your personal information when you use our AI‑powered note‑taking application and related services.

Information We Collect

  • Handwritten Notes and Content: We collect and process the notes, drawings, and content you create using our application.
  • Device Information: Information about your tablet, operating system, and app usage patterns.
  • Integration Data: When you connect third‑party services (such as Gmail or Calendar), we access only the information necessary to provide the requested functionality.
  • Authentication Data: Your login and authorization credentials required to securely connect your account.

How We Use Your Information

  • To provide AI‑powered features, including:
    • Note summarization and insights generation
    • Handwriting recognition and conversion
    • Smart organization and cleanup of notes
  • To improve our services and develop new features
  • To integrate with third‑party services you have authorized
  • We do not use Google Workspace user data (or any user data) to train generalized AI or machine‑learning models.

Data Sharing & Disclosure

We do not sell your personal information. We share data only in the following circumstances:

  • LLM Inference Providers: To generate AI outputs, portions of your content are transmitted securely and transiently to large‑language‑model (LLM) APIs operated by Google (Gemini) and OpenAI (ChatGPT‑based models). These providers process the data solely to return the requested inference and do not retain it for their own model training.
  • With your explicit consent
  • With service providers who support our operations under strict confidentiality agreements
  • To comply with legal obligations or protect our rights

Data Storage & Security

Your data is stored in Google Cloud Platform (GCP) services, including Google Cloud Storage and Vertex AI Vector Search. We employ industry‑standard safeguards such as encryption in transit (TLS 1.2+) and at rest (AES‑256), role‑based access controls, audit logging, and network isolation.

Data Retention & Deletion

We ingest your Google Workspace content—including Gmail messages, Calendar events, and Drive files—in two ways:
(1) On-demand. When you manually press the Ingest Nowbutton, we pull the selected content immediately.
(2) Auto-Ingest. If you turn on the optional Auto-Ingest setting, our system will periodically (at the interval you choose) sync new Gmail and Calendar data in the background. Auto-Ingest is off by default and can be disabled at any time in Settings.
In either mode, any copies and vector embeddings we create from your content are retained until you delete them via the in-app delete function or close your account, after which they are permanently removed from our systems within 30 days.

Google Workspace APIs Usage

We access Google Workspace APIs solely to fulfill the features you request. We do not use the data received through these APIs to develop, improve, or train generalized AI or ML models. Our use strictly adheres to Google’s Limited Use requirements.
